JOB DESCRIPTION: The Program Assistant aids in the operation of all Missions programming at the Good Shepherd Community Center, ensuring that all programs run efficiently. The Program Assistant reports to the Director of the Good Shepherd Community Center.

 

ROLES AND RESPONSIBILITIES:

  • Operations
    • Assumes responsibility for operations in the Director’s absence
    • Assists with program implementation anywhere needed, including staffing assistance at the food shop
    • Present to greet program participants and ensure smooth program functioning on a daily basis at peak times (afternoons)
    • Develop and post weekly schedules of programs and special events at the Center; ensure that all program participants are aware of weekly schedules and any schedule changes
    • Ensure that all program areas have sufficient materials and supplies in support of weekly program content; assist Director with materials acquisition as needed
    • Organize and maintain scheduling and logistics for all program involving visiting managers and experts from Selma
    • Constantly seek program participant feedback and communicate feedback to the Center Director
  • Administration
    • Maintain program registration and attendance system; produce regular reports for Community Center Director
    • Maintains reporting in Apricot performance data system for all non-food shop programs; ensures the integrity of food shop entries into the Apricot system
    • Schedule Community Advisory Committee meetings; serve as secretary of the group
    • Maintain schedule of visits from Selma staff, including periodic visits in support of Missions fundraising
    • Assist Center Director with maintaining his/her schedule as needed
    • Other duties as assigned

REQUIREMENTS

  • High school diploma or equivalent
  • At least three years in an administrative or assistant role
  • Computer skills to include Microsoft word and basic knowledge of Microsoft excel
  • Experience with being “customer facing,” working with members of communities and the public in achieving an organization’s needs, e.g., as part of a Parent Teacher Association or other community serving organization
